Volunteer Roles

Thanks for offering to help this weekend. Not too late for others to help on the day just turn up and let us know or if I’ve missed you on the list and you had volunteered remind me. Dave will be about on the end of a radio, trouble shooting, sorting out amplification and buying extra food etc during the day. If you have an issue don’t hesitate to call up on a radio there will be one at each of our fixed points.

Please book in and out on the signing in board. Teas, Coffees and Squash free all day to helpers just show your ID. Crafters are also entitled to the same courtesy. Tea Points at the Cafe and in the Gym with the tombola.

You will be issued an ID badge and your role allocations will be written on the reverse of your ID card as a reminder.

My intention is that all those who are helping for 12 hours will get a 2 hour break during the day.

Please keep hydrated!

The Signing in point will be at the entry point until 11 when it will be relocated to the Cafe.

Set Up Performance Area in Gym Set Up tables and chairs for stalls. and informal audience Tables and chairs scattered about for strolling audience.

The idea to create a fete like atmosphere and not have a formal audience area

6 foot equivalent length table(s) for each stall and 2 chairs plus room for extra table provided by stall holder if needed. The plan this year is to have them around the edge and then lines down the Gym with area if room for chairs and small tables for people to relax between the stalls and listen to music.

Liz Lock (Set up table for 100 club, Tombola and Tea Point together by main Gym door) Tanya will bring and set up Tombola Goods before 11 am. Sound Desk to be set up behind Tombola by Dave when someone is free to relieve him at entry point.

Cafe / BBQ Helen, Kevin Lynn H Nicki B will arrive with refreshments before 11.

Set Up BBQ on the Patio by the Café and set up refreshment area in the Café. Set Up Radio Charging Point.
There is no longer a cold table in the Cafe so cool boxes are going to be essential although there is a small glass fronted Fridge.
Collect food as required from the school cold store. Set Up Freezer with Ice Creams.

Once set up those that are staying to Help during the evening to share the Cafe BBQ role and Gate role. The plan will be to have time for picnic and refreshment before the concert which starts at 7 pm.

During the day our groups are playing twice each, with time between performances to browser the stalls

11am – BAYWTO until 11.20am (Wind Training Orchestra)

11.20am – Junior Choir until 11.35am

11.40am – TAYWB until 12noon ( Tadley Youth Wind Band)

12.05pm – String Training Orchestra until 12.20pm

12.25pm – BAYWTO until 12.45pm

12.50pm – Junior choir until 1.05pm

1.10pm – TAYWB until 1.30pm

1.35pm – String Training Orchestra until 1.50pm

1.55pm – Youth Choir until 2.15pm

2.20pm – BAYPE until 2.40pm Percussion Group

2.45pm – BAYSO until 3.05pm. String Orchestra

3.10pm – Youth Choir until 3.30pm

3.35pm – BAYPE until 3.55pm

4.00pm – BAYSO until 4.25pm

4.30pm – BAYWO until 5pm Wind Orchestra.

AND RELAX time for a picnic, burger or ice cream before the evening concerts start .. Whilst our crafters head home.

Useful if we can get some raffle tickets being sold at this point by young people.
